Privacy Policy:

Scope of this Policy: Interfaith Voices for Reproductive Justice (IV4RJ) is committed to protecting the privacy, dignity, and confidentiality of individuals and communities who engage with our work.  

This Privacy Policy covers two separate types of engagement with IV4RJ, which are handled differently:

  • Organizational Engagement – including website visits, events, trainings, programs, communications, and general organizational activities.
  • IRB and Research Oversight Engagement – including submissions, reviews, consultations, and activities overseen by the IV4RJ IRB.

Because these are distinct functions, they are governed by different ethical standards and data-handling practices, which are explained below.

Organizational Events and Programming

  1. Information We Collect:

For organizational events, programs, and general engagement, IV4RJ may collect information you voluntarily provide, including:

  • Name
  • Email address
  • Phone number
  • Organizational, institutional, or community affiliation
  • Role, title, or position

Information may be collected through:

  • Website contact or intake forms
  • Event registrations (virtual or in-person)
  • Program participation or training sign-ups
  • Communications with IV4RJ staff

IV4RJ may also collect limited non-personal information (such as browser type or pages visited) for basic website analytics.

  1. How We Use Organizational Information

Information collected through organizational engagement is used to:

  • Administer events, programs, trainings, and educational activities
  • Communicate with participants about IV4RJ offerings
  • Manage registrations, attendance, and follow-up
  • Meet organizational, legal, and operational needs

Participation in IV4RJ events or programs does not constitute participation in research and is not subject to IRB oversight unless explicitly stated otherwise.

  1. Information Sharing for Organizational Activities  

Information collected for organizational purposed may be shared only:  

  • Internally among IV4RJ staff and consultants as needed for operations
  • With trusted service providers or partners assisting with event hosting or program administration
  • When required by law

IV4RJ does not sell or share personal information for commercial purposes.

  1. Events, Recordings, and Media (Organizational Only)

Some IV4RJ organizational events may be recorded or photographed for documentation, reporting, or educational purposes. Such media may be used for the website, external marketing materials, and IVRJ social media platforms.  

  • Participants will be notified when recording or photography is planned.
  • Participants will have the option to opt out or participate off camera if virtual.  

IRB and Research Oversight Activities

  1. IRB Specific-Scope:  
  • Engagement with the IRB is separate and distinct from participation in IV4RJ events or programs.
  • Submission of materials to the IRB does not imply participation in IV4RJ programming, and participation in IV4RJ programming does not imply participation in research.
  • Participation in research overseen by the IV4RJ IRB is governed by a study-specific informed consent process. The details of data collection, risks, benefits, compensation, and confidentiality for a particular study are described in the consent form approved by the IRB. Where there is a difference between this Privacy Policy and a study-specific consent form, the consent form controls.

  1. Information Collected for IRB Activities:

For IRB and research oversight purposes. IV4RJ may collect:  

  • Applicants – name, role, title, etc.
  • Research protocols, applications, and supporting documentation
  • Information about principal investigators, research teams, and sponsoring organizations
  • Limited personal or sensitive information necessary for ethical review

  1. Use and Protection of IRB Data  

Information submitted for IRB review is used solely for:

  • Ethical Review and Oversight  
  • Required administrative and compliance functions  

Access to IRB materials is limited to authorized IRB members, reviewers, and designated IV4RJ staff, all of whom are bound by confidentiality and conflict-of-interest expectations.

IRB-related data are stored separately from general organizational data and are protected using appropriate administrative and technical safeguards.

Research data overseen by the IV4RJ IRB may be analyzed, reported, or shared in de-identified or aggregated form for scholarly, educational, or policy purposes, consistent with the terms of participant consent and applicable ethical standards. Identifiable information will not be shared unless explicitly authorized by the participant or required by law.

  1. Use of Third-Party IRB Systems

IV4RJ uses Sitero, a third-party platform, to manage IRB submissions, reviews, and related research oversight activities. Information submitted through Sitero is subject to Sitero’s privacy and security practices. IV4RJ does not control Sitero’s privacy policy or data-handling practices but has selected the platform for its use in research ethics administration.

IV4RJ is not responsible for the privacy practices of third-party platforms but seeks to work with vendors that support confidentiality and ethical research oversight.

  1. Retention and Confidentiality  

IRB and research-related information is retained only for the period necessary to meet ethical, legal, and regulatory obligations. Confidentiality is maintained in accordance with principles consistent with the U.S. Common Rule (45 CFR 46). While IV4RJ is committed to confidentiality, there are limited circumstances in which information may be disclosed without consent, including when required by law, court order, or regulatory oversight, or to comply with mandatory reporting obligations applicable to certain research activities.

Data Security

IV4RJ uses reasonable administrative, technical, and organizational safeguards to protect personal information. While we take data security seriously, no system can guarantee absolute security.

Your Rights

Depending on the nature of your engagement with IV4RJ, you may have the right to:

  • Request access to personal information we maintain
  • Request corrections to inaccurate information
  • Request deletion of personal information, subject to legal or ethical retention requirements
  • Opt out of future communications

For IRB-related records, requests for access or deletion may be limited by ethical, legal, or regulatory requirements, including obligations to retain research records for oversight and compliance purposes.

Changes to this Policy

We may update this policy periodically. The effective date reflects the most recent update.
